How Workday reads your resume

Workday applications can start with an Autofill with Resume button, which reads your file and fills in the form. Each employer configures its own Workday careers site, so the details move from one company to the next. What Workday does publish is how parsing behaves, which fields it skips, and the upload rules on its own careers site, which runs on the product.

Your file goes in, Workday fills the fields it recognises, and the line underneath types what its own documentation says goes missing on the way.

Form autofill

When a resume is parsed, Workday fills fields on the application from it and lets the candidate review the resume data. On the step where a prospect introduces themselves, Workday parses contact information, education and experience.

Workday does not auto-fill fields the employer has hidden, and it does not fill Languages or Skills from the resume. Those have to be entered by hand.

What ATSPrep exports, and whether Workday takes it

This is computed at build time by comparing our export formats to Workday's published list. It is not written by hand, so it cannot drift out of date.

Workday takes both, so the choice is yours. PDF or DOCX: a simple rule for picking

What trips people up on Workday

  1. Workday's own site takes 5 MB

Workday's careers site, which runs on its own product, asks for DOC, DOCX, HTML, PDF or TXT files of up to 5 MB in the resume field. Employers set up their own sites, and Workday does not publish a single limit that applies to all of them, so treat 5 MB as one real example rather than a rule.

  2. Format and word order change the result

Workday's documentation says resume parsing results can vary based on resume format and the order of words. For best results it says to use resumes that do not have images or image-based styles. That is the vendor's own advice, and it is the closest Workday comes to a list of things to avoid.

  3. Skills and Languages are not parsed

Workday states that parsing does not auto-fill Languages or Skills. However well your skills section is laid out, those fields on the application stay empty until you fill them in yourself.

  4. Some employers turn autofill off

An employer can hide resume parsing for external candidates on its application template. When it does, Workday does not show the Autofill with Resume button at all, and every field is typed by hand. A missing button is a setting, not a fault with your file.

  5. A resume upload may be required

Workday gives employers a Require Resume Attachment option on their career sites. Where it is on, the application cannot be finished without a file, even if every field is already filled in.

  6. Every autofilled field can be corrected

Workday's newer Candidate Profile describes the same pattern. The resume step appears only if the employer has set it up, and the candidate can override any field that was filled from the resume at every step. Workday also states that Candidate Profile does not score, rank or evaluate candidates.

  7. Uploads are virus-scanned

Workday scans uploaded files for viruses, while noting that it does not guarantee every file is scanned. A file with macros or embedded objects has more ways to be flagged than a plain export, so keep the resume a plain document.

Formatting for Workday

Go through your file before you apply and tick each one off. Your ticks stay in this browser, so the list is still here for the next Workday job.

  • Both are on Workday's own upload list. Leave out photos, icons and image-based headings, which Workday's documentation names as the thing that hurts parsing.

  • Workday says the order of words affects the result. Put each job as title, company and dates in the same order every time, and keep section headings plain.

  • That is the limit on Workday's own careers site. A text-based resume is far below it. If yours is close, something embedded is taking the space.

  • Workday does not fill these from the resume. Add them in the application fields so they are on your record.

  • Autofill fills what it can and leaves the rest. Read each step, correct anything that came through wrong, and fill in anything left empty.

All five checked. Good luck with this one.

Once it's sent, add the job to your tracker. You'll know which version went where, and when a follow-up is fair.

Read your resume back before Workday does.

Guidance is worth less than evidence. Export a PDF from the Studio and the X-Ray re-opens that exact file and shows you the text a parser recovers from it, in reading order, with anything it dropped marked.

Workday and your resume

What is Workday?
Workday is a business software company. Its recruiting product lets employers run their own careers sites and job applications. Each employer configures its own site, so the steps and fields vary between companies.
How do I know if an employer uses Workday?
Look at the address of the application page. Workday's own careers site sits on a myworkdayjobs.com address, workday.wd5.myworkdayjobs.com, and an application page on that domain is a Workday site. An Autofill with Resume button is another sign.
Does Workday read PDF resumes?
Yes. PDF is on the upload list of Workday's own careers site, and the resume is parsed to fill the application. Workday's documentation says results are best when the resume has no images or image-based styles, so the PDF needs to hold real text.
What file types does Workday accept for a resume?
On Workday's own careers site the resume field takes DOC, DOCX, HTML, PDF or TXT. Other employers configure their own sites, so check the note under the upload field on the application you are filling in.
What is the Workday resume size limit?
Workday does not publish one limit for every employer. Its own careers site allows 5 MB for the resume field, and the limit on a given site is shown next to the upload button.
Why did my resume fail to parse in Workday?
Workday says parsing results vary with resume format and word order, and that resumes without images or image-based styles give the best results. It also never fills Skills or Languages, or any field the employer has hidden. If there is no Autofill with Resume button, the employer has turned parsing off for external candidates.
Does a failed parse mean Workday rejected my application?
No. Autofill only fills in the form. Workday lets candidates review and override every autofilled field, and you can complete the application by hand. Workday states that Candidate Profile does not score, rank or evaluate candidates.
